These Terms and Conditions govern all services provided by Nella Catering ("Nella", "we", "us") to clients ("you", "the client"). By making an enquiry, placing a booking, or signing a booking confirmation, you agree to these terms in full. Please read them carefully before booking.

02 Bookings & Confirmation
All bookings are subject to availability and are not confirmed until you have received a written booking confirmation from Nella and paid the required deposit.
- A date hold (submitted via the website) reserves your date for 48 hours while we discuss your event — it does not constitute a confirmed booking
- A booking is confirmed only upon receipt of a signed booking confirmation and the required deposit payment
- Nella reserves the right to decline any booking at our discretion
- Bookings made via third parties or agencies are subject to the same terms
03 Deposits & Payment
Deposit
A non-refundable deposit of 25% of the total quoted fee is required to secure your booking. The deposit must be paid within 5 business days of receiving your booking confirmation, or the date will be released.
Balance Payment
The remaining balance is due as follows:
| Event type | Balance due |
|---|---|
| Private dining (under 30 guests) | 14 days before the event |
| Catered events & celebrations | 21 days before the event |
| Corporate events | 14 days before the event (or 30 days for invoiced accounts) |
| Weddings & large events (50+ guests) | 28 days before the event |
Late Payment
Payments not received by the due date may result in cancellation of the booking. Nella reserves the right to charge interest on overdue balances at 8% per annum above the Bank of England base rate under the Late Payment of Commercial Debts Act 1998.
Accepted Payment Methods
- Bank transfer (BACS) — preferred
- Credit / debit card (2% processing fee applies)
- Cheque (must clear 7 days before event)
04 Cancellation Policy
Please read carefully: Our cancellation policy is designed to protect both parties. Once a booking is confirmed, we commit resources, staff, and suppliers — cancellations have a real cost to us.
| Notice given before event | Cancellation charge |
|---|---|
| More than 60 days | Deposit only (non-refundable) |
| 30–60 days | 50% of the total quoted fee |
| 14–29 days | 75% of the total quoted fee |
| Under 14 days | 100% of the total quoted fee |
Cancellations must be made in writing to enquiries@wearenella.com. The cancellation date is the date we receive your written notice.
We strongly recommend taking out event cancellation insurance to protect against unforeseen circumstances.
05 Changes to Your Booking
- Guest numbers: Final guest numbers must be confirmed no later than 14 days before your event. We can accommodate increases of up to 10% on the confirmed number where possible, subject to additional charges. Reductions of more than 10% within 14 days will be charged at the original confirmed number
- Date changes: We will accommodate one date change free of charge (subject to availability) if requested more than 30 days before the original date. Changes requested within 30 days are treated as a cancellation and rebooking
- Menu changes: Minor menu amendments are accepted up to 21 days before your event at no charge. Significant menu overhauls within 14 days may incur an amendment fee
- Venue changes: Please inform us as early as possible of any venue changes. Additional travel or logistics costs may apply
06 Allergies & Dietary Requirements
Important: If any of your guests have a severe food allergy (anaphylaxis risk), please inform us at the earliest opportunity — ideally at the enquiry stage.
We take food allergies and dietary requirements extremely seriously. Following confirmation of your booking, you will receive a detailed Allergy & Dietary Requirements Questionnaire which must be returned no later than 14 days before your event.
- We work to accommodate all common dietary requirements including vegetarian, vegan, gluten-free, dairy-free, halal, and kosher where possible
- Whilst we take all reasonable precautions, our kitchens are not allergen-free environments. We cannot guarantee the complete absence of any allergen
- We are not liable for any allergic reaction arising from information not disclosed to us prior to the event
- Any known severe allergies should be disclosed at enquiry stage so we can advise on whether we are able to safely cater for your event
07 Pricing & Quotes
All prices quoted are exclusive of VAT unless otherwise stated. Quotes are valid for 14 days from the date of issue. Prices displayed on our website are indicative starting points only and the final price will be confirmed in your written quote following consultation.
- Quoted prices are based on the information provided at the time of quotation. Changes to guest numbers, menu, or event requirements may affect the final price
- Travel costs for events more than 30 miles from our Yorkshire base will be charged at cost and itemised separately in your quote
- Overnight accommodation for multi-day events will be quoted separately
- Hired equipment, furniture, florals, and other third-party costs are quoted as estimates and are subject to supplier confirmation
08 Your Responsibilities
As the client, you are responsible for:
- Ensuring the event venue has adequate facilities for our team including kitchen access, electricity, running water, and appropriate workspace
- Obtaining any necessary licences or permissions for the event (e.g. alcohol licences, premises licences, noise permits)
- Notifying us of any venue-specific restrictions, access requirements, or health and safety rules before the event
- Providing accurate guest numbers and allergy information by the agreed deadlines
- Ensuring guests and other contractors treat our staff with respect. Nella reserves the right to withdraw service if our team are subjected to abusive or threatening behaviour
- Ensuring adequate parking or unloading access for our vehicles
09 Staffing & Service
The number of staff provided is based on the agreed guest numbers and service style. We reserve the right to adjust staffing levels proportionally if guest numbers change significantly from the confirmed figure.
Our team will arrive at an agreed time to set up and will depart after clearing all Nella equipment. Clearing times are typically 60–90 minutes after service ends. Extended staffing requirements (e.g. very late clear-down) may incur additional charges.
10 Cancellation by Nella
In the extremely unlikely event that Nella must cancel your booking due to circumstances beyond our control (force majeure — including but not limited to severe weather, illness, bereavement, or national emergency), we will:
- Inform you as quickly as possible
- Use our best efforts to find a suitable alternative caterer
- Refund all payments made to us in full within 14 days
Beyond the above, Nella's liability is limited to the amounts paid to us. We strongly recommend event cancellation insurance.
11 Liability & Insurance
Nella Catering holds Public Liability Insurance. Our liability to you is limited to direct losses arising directly from our negligence and is capped at the total value of your booking with us.
We are not liable for:
- Any indirect, consequential, or special losses
- Loss or damage caused by third parties, venue issues, or circumstances outside our control
- Any allergic reaction resulting from undisclosed allergy information
- Damage to the venue or property not caused by our team
- Events delayed or disrupted due to your failure to provide adequate facilities or information
You are advised to take out comprehensive event insurance covering cancellation, public liability, and any other relevant risks.
12 Intellectual Property & Photography
Nella may photograph food and table settings at your event for use in our portfolio, website, and social media (@nella.catering). We will always seek your permission before photographing guests and will respect any requests for privacy.
If you do not wish any photography to take place at your event, please inform us in writing before the event date.
All menus, recipes, and creative concepts developed by Nella remain our intellectual property.
13 Complaints
We always aim to exceed your expectations. If you have a complaint, please raise it with our team on the day where possible so we can address it immediately.
Formal complaints must be submitted in writing to enquiries@wearenella.com within 7 days of your event. We will acknowledge your complaint within 2 business days and aim to resolve it within 14 days.
14 Governing Law
These Terms and Conditions are governed by and construed in accordance with the law of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Nothing in these terms affects your statutory rights as a consumer under UK law.
